About the opportunity
We are seeking a Talent Acquisition Specialist for our Phoenix, AZ office. This position is responsible for providing office administrative support, office reception, travel logistics coordination, document production, project and business development coordination. In addition, the individual will also provide administrative and recruitment support for SWCA’s national Talent Acquisition team.
This is a full-time, hourly position with approximately 30% of time dedicated to Corporate Admin Services and 70% dedicated to Talent Acquisition. This is subject to change depending on workload needs.
This position reports to the Phoenix-based Senior Talent Acquisition Manager, and pay will be based on individual qualifications and experience.

What you will accomplish
Administrative Specialist Responsibilities:
- Administrative functions in the office, including proactively developing procedures and assuring administrative support tasks are completed in the most timely and effective manner
- Coordinate, prioritize, and complete tasks to support business activities. This includes word processing, copying, binding, and mailing a variety of letters, internal documents, proposals, IT equipment and marketing material
- Assist with new hire orientation and deployment, health and safety compliance, and management of project records, file organization, and document archiving
- Oversee facility maintenance, repairs, and service contracts (e.g., copier repair services); and ensure all office equipment is functioning properly, and is repaired when needed
- Schedule and support meetings and events for the office as needed
- Other administrative duties as assigned, which may include but is not limited to: receiving all office guests and deliveries; answering/routing all telephone calls; ordering office and kitchen supplies assisting with expenses reports; and sorting/routing incoming mail and shipments
- Collaborate regularly with SWCA’s corporate office (HR, payroll, and accounting) departments, and to promote SWCA’s business interests in adherence to its mission, vision, and values.
Talent Acquisition Responsibilities:
- Posting approved jobs to the appropriate career sites
- Initiating and overseeing the electronic onboarding process
- Administration of hiring effectiveness surveys, including data analysis for the development of monthly, quarterly, and yearly recruiting metric reports
- Assist in the maintenance of the Applicant Tracking System (ATS)
- Maintaining the Employee Referral Program
- Review and screen applications, support candidate sourcing, and schedule and conduct interviews as needed.
- Prepare and extend offer letters.
- Other related activities as required.
Experience and qualifications for success
REQUIRED
- Minimum of a High School diploma or equivalent.
- Minimum of two (2) years of current work experience as an administrative support professional or related job experience in a related, project-based industry (e.g., environmental services, architecture & engineering, construction).
- Demonstrated proficiency in Microsoft Word, Excel and Power Point (preferably Version 2010).
- Results driven professional with high attention to detail and time management skills.
- Ability to maintain strict confidentiality and professionalism at all times.
- Strong multi-tasking skills and ability to produce results; must be able to successfully organize and prioritize work under tight deadlines and changing circumstances.
- Ability to work independently, be proactive, solve practical problems, and take initiative while also being a team player who is willing to make contributions both locally and companywide.
- Excellent phone, communication, multi-tasking and interpersonal skills with the ability to represent the company in a professional manner and meet tight deadlines in a fast-paced environment
PREFERRED or HELPFUL
- Experience with recruiting or other human resources functions
- Experience with additional software applications such as Adobe Acrobat Professional.
- Experience with Deltek Vision.
- Eagerness to learn while being receptive to feedback.

An employee for this Phoenix, AZ-based position can expect an hourly pay rate between $22.25 – $29.25/hour. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law. Regular-status employees are also eligible for performance bonuses.
