Job Description
Role Summary
The Talent Acquisition Assistant will report to the Vice President, Global Talent Acquisition and perform a broad range of administrative, coordination and support activities across the Talent Acquisition organization at NBCUniversal. The ideal candidate will have the ability to work independently in a fast-paced environment and follow-through on projects and tasks, all while maintaining strict confidentiality and professionalism. The role is a perfect launch pad for someone interested in a career in Talent Acquisition or HR, providing experience in administration and project support work in addition to broad exposure to the enterprise-wide Talent Acquisition organization at NBCUniversal.
Responsibilities
- Provide administrative support to VP, Global Talent Acquisition
- Manage complex schedule and coordinate meetings with internal and external parties utilizing multiple calendars; determine the importance of meeting requests and schedule accordingly
- Meeting preparation (including arranging for facilities/equipment, preparing of agendas, communicating/following up with attendees)
- Plan and coordinate all departmental offsite meetings (including venue selection, catering, AV coordination, agenda preparation, notes transcription and third-party contract negotiation)
- Arrange travel and all accommodations including comprehensive and detailed itineraries
- Handle correspondence, including typing and drafting letters, memos and business documents
- Handle general office and administrative tasks; assist other members of the department; provide backup for co-workers
- Order and maintain and office supplies
- Coordinate Onboarding & Offboarding for TA Team members
- Track department budget expenses including processing invoices, monthly reconciliation, maintaining invoice log, and follow-up
- Maintain and update team org chart and distribution lists
- Maintain TA SharePoint site ensuring team presentations, org charts and event calendar are updated and current
- Manage special projects as designated, specifically, dealing with administrative and coordination issues
- Maintain a high degree of confidentiality and discretion in regards to all matters, data and documents
- Additional duties and projects as assigned
Qualifications
Basic Requirements:
- Bachelor’s Degree or equivalent work experience
- Proficient knowledge of Microsoft Excel, PowerPoint, and Outlook
- Ability to perform department business while maintaining strict confidentiality and professionalism
- Strong interpersonal and communication skills, including a professional phone manner and in-person presence
- Ability to prioritize, manage multiple projects simultaneously, and follow-through on issues on a timely manner
- Exceptional attention to detail

Additional Requirements:
- Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
