Responsible for the coordination and administration of the Firm’s employee benefits and wellness programs for over 600 attorneys and staff across 13 offices. Benefits programs include medical, dental, vision, life insurance, short- and long-term disability, 401(k) plan, and wellness benefits. Ensures compliance with required benefit notices such as FMLA, COBRA, etc.
Responsibilities:
Benefits Administration and HRIS Management
- Configure, set up, and maintain employee benefits plans and classes within our HRIS system, Paylocity, to ensure accurate and efficient benefits administration.
- Collaborate with the HRIS team to troubleshoot and resolve any system-related issues or discrepancies related to benefits data.
- Ensure that employee information, deductions, and contributions within Paylocity align with the established benefits plans and offerings.
- Work closely with Payroll Department providing timely communication of benefits deductions, wellness reimbursements, etc.
- Regularly update and verify benefits-related data, such as premium rates, coverage options, and eligibility criteria, to reflect changes in company policies and compliance requirements.
- Generate reports and provide data analysis from Paylocity to support benefits decision-making, compliance reporting, and audits.
- Interprets and explains insurance programs to employees and their dependents. Provides coverage information for non-routine situations.
- Corresponds with insurance carriers, physicians, hospitals, and employees regarding claims, and investigates complaints and discrepancies in coverage.
- Manage the annual open enrollment process, including communication, documentation, and employee education.
- Complies and prepares employee census data reports which includes wages, hours, date of hire, age, sex, job class, work status and office locations for plan renewals and/or insurance quotes.
- Interprets the Firm’s policies and governmental regulations affecting the benefit plans and program.
- Researches and prepares a variety of complex benefits surveys, salary evaluation reports and plan comparisons.
- Provides Family and Medical Leave Act information to employee and monitors FMLA leave. Ensures the Firm’s compliance with the applicable provisions of COBRA, HIPAA, and ERISA.
Wellness Program Management
- Plan, organize, and promote wellness programs and initiatives to improve employee health and well-being.
- Collaborate with vendors and partners to deliver wellness programs, such as fitness challenges, health screenings, and mental health resources.
- Monitor and evaluate the effectiveness of wellness programs through data analysis and employee feedback.
- Create engaging communications to promote wellness initiatives and educate employees about available resources.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or related field (Master's degree preferred).
- 4+ years of experience in benefits administration, wellness program management, or a related HR role.
- Knowledge of federal and state employment laws and regulations related to benefits and wellness programs.
- Strong analytical skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently, prioritize tasks, and meet deadlines.
- HR certification (e.g., PHR, SPHR, SHRM-CP) is a plus.
