Supports processes around external and internal candidate sourcing, applications, screening, and process expediting. Source qualified candidates using resume tracking and HR systems. Upon identifying candidates, the recruiting assistant may contact candidates via phone and/or email to explain the open position, conduct occasional phone screening, and direct and ensure that candidates formally apply to the correct job opening.
Primary Duties & Responsibilities

Assists recruiters in screening employment applications and scheduling interviews for applicants to identify best fit candidates. Ensures all required documentation has been collected and eligibility has been met prior to forwarding application to recruiters/departments. Screens prior employees for rehire eligibility and checks that transfer applicants have met transfer eligibility.

Assists in outreach to identify and build diverse pools of qualified candidates using internet and other resources as needed. Schedules phone interviews and completes a high number of candidate pre-qualifying phone screens with prospective candidates. Establishes and maintains a file of potential candidates for large incumbent positions to proactively contact previous qualified candidates regarding further openings.

Assists recruiters to ensure pre-employment screening tests and assessments are administered appropriately and results sent to hiring managers. May assist hiring managers in evaluating and interpreting candidate results.

Places advertisements as requested by recruiters.

Completes documentation, organizes supporting information for recruiting, and maintains for ease of retrieval. Updates candidate records and job postings in recruiting systems and confirms new hires.

Provides follow-up correspondence to candidates on recruiting status via phone and email.

Works collaboratively with recruiters to discuss openings and future hiring needs. Recommends candidates for future consideration.

Supports recruitment team on building an effective recruitment office to meet hiring goals, including communication with school and departmental business offices, applicants, advertising vendors, etc. May also assist with job fair hosting and community outreach events.

Identifies opportunities for improving candidate experience and scheduling efficiency. Provides feedback and updates to management on market trends and opportunities.

Submits reports in a timely manner.

May perform employment reference checks and verify required license/certifications on applicants.

Performs other duties as assigned.
Preferred Qualifications
- Bachelor's degree

One year of recruiting or human resources experience.

Experience building and utilizing a variety of sourcing plans and tools, including proactive phone calls and internet research.

Experience finding and engaging with candidates through Boolean searches and LinkedIn.

Proficiency with sourcing tools, such as LinkedIn.

Effective verbal, written and interpersonal communication skills.

Experience in building diverse pools of qualified applicants.

Knowledge of technology, including Microsoft Office Suite, applicant tracking systems, internet searches, and social media channels.

Ability to maintain effectiveness across multiple systems and interfaces.

Effective understanding and knowledge of employment law.

Ability to effectively enter candidate information, and phone screen documentation in an applicant tracking system.

Effective customer service skills.

Ability to effectively manage time and prioritize.

Effectiveness in a self-directed environment.

High school diploma or equivalent high school certification.

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
